I have been looking into Revit Keynotes over the last couple of days as a way to improve office efficiency. Currently we have a mix General Notes and Key Notes, but both are dumb notes created with text. We have had issues lately with consistency and coordination. Key note numbers will be changed, but the Key note legend will not be changed and it is leading to some quality control issues.
I have been leaning toward using Element Key notes, and I thought I was starting to understand them, however, there seems to be some efficiencies still missing or I am just not using them correctly (very possible).
I have copied the Revit txt file into my project subfolder and set the keynote path to find the file. No problems.
I have edited and renumbered the file to contain the notes I want. We do a lot of small projects and generally just number 1-10, or 50 or however many notes are needed. Again, no problems.
I tag the elements and select the appropriate key note value. Once I have selected one element if I select the same element in another view it auto fills the value. Good I like that, one less step to be done incorrectly.
The PROBLEM I am having. We edit our notes, a lot, and we like to reorder our notes seemingly towards the end of projects to group similar notes together. In the key note test Revit file I have created if I change the Key Value in the txt file, it does not update in the Revit file. I know how to reload the txt file. The issue is really if I renumber note 8 to be note 10 in the txt file and reload, my key notes in Revit do not update, the Legend will update.
After initially picking the key vale when tagging the element there does not seem to be any other link between the key value and the txt file.
What am I missing? Or am I incorrect in expecting the Keynote txt file and Revit keynotes and Legend should update in this manner.

I don't think you are missing anything. Your process will not work because that is not how keynotes work. The number is the index - not the note. When you do what you say, click on your number 8 keynote in the view and see what it points to... not the note that is now numbered #10.
Like you, I like to create my keynote file keeping similar items together. To do that I "block out" different areas leaving unused numbers in between. Yep... every once in awhile, I still run out of room.
BTW - We place a keynote legend on every sheet that only shows the keynotes used on that sheet. A good way to see what you really have.

Thanks for the response WWHub. I have also added the key note schedule to each sheet, I like being able to see what key notes have been added to the sheet.
I guess I am just a little disappointed the notes do not work that way. I was making a bad assumption that if I have to pick the key note from the txt file to assign it to an object that it would update automaticlaly if my txt file numbers changed.
This will make it harder for me to convince the firm we need to change the way we keynote.

Keynotes really work well but you need to embrace the process. This one very small drawback doesn't mean much when you look at all the benefits.
