We currently are using One master keynote file for all of our projects. We have it set up under the 2004 48 division system, be we hardly will need the actual number for anything other than assigning the keynote itself. We have considered the idea of creating a project keynote with each job, but then if we add a description to that keynote, we would have to then add it to the master keynote, and with three of us using the master keynote file, that could get tricky. Is there an easier way to do this? I personally have tried to express the option to create a project keynote file and only have in that keynote file the keynotes applicable to the job. That way we wouldn't have to sort through a bunch of keynotes to find the one that we want. Example; Gutters are under Thermal and Moisture Protection, but we don't need EVERYTHING in there; let alone a whole buncha other stuff. So do you think it would be better to have a project keynote for each project and then just update the 48 division masterfile accordingly? Or do you think we should abandon the divisions we don't use and just create a master keynote of only the ones we use and keep a copy of the 48 division keynote file for reference should we need to add anything in the future that would require a different category number?

We use a master keynote schedule for every project. First, the schedule only shows the keynotes we are using in the project. The keynotes that are not applicable to the project do not show up in the schdule. We are using a completely custom schedule that we update with new numbers as each project has different options or requirements. Second, our families have the keynote number associated to each family type. For instance, our base cabinets are keynote #780 (which is part of the family). I don't have to look up the keynote number when keynoting. Mike

In our office we have a template keynote file that was slimmed down and edited from the out of the box. Each project starts from that - copying to create a project keynote file. This way they have the option to customize per project and skinny down even more for ease. We do have a seperate keynote template file for our life care market sector. Those projects are just a different beast of their own... Onother firm that attends my Revit User Group has one Master Keynote file.
